Verification Standards

To eliminate disputes and ensure maximum security for high-value gemstone fulfillment, Ishq Gems implements a comprehensive Chain of Custody tracking system. Every shipment processed through our intermediary Colombo hub is fully documented with media records at intake, processing, and carrier handover.

1. Intake Inspection & Media Logging

Immediately upon arrival of an item at the Ishq Gems Collection Hub (via drop-off or pickup), it is subjected to a standardized verification process:

  • Unboxing Video: The package unboxing is filmed in a single, uninterrupted high-definition video take under fixed camera setups to document the seals and arrival state.
  • Microscopic/Macro Photography: High-resolution photographs are captured of the gemstone (displaying inclusions, cut alignment, face dimensions) and its accompanying certificates.
  • Weight and Dimensions Verification: The gem is weighed on calibrated carat scales on camera to verify consistency with listing specifications.

2. Secure Hub Storage

Following successful intake verification, items are cataloged in our inventory system and placed in individually numbered security bags. The bags are deposited in biometric dual-custody vaults with 24/7 video monitoring. Every movement of the item requires dual operator authentication and is electronically logged.

3. Dispatch Packaging & Handover

When preparing the item for shipping to the buyer, the following protocols are enforced:

  • Packaging Video: The packaging of the gemstone into the final box is filmed under fixed-angle cameras, capturing the placement of the item, security seals, and carrier label application.
  • Tamper-Evident Seals: High-security holographic seals are applied to the box seams. The unique serial numbers of the seals are recorded in the transaction log.
  • Carrier Signature: The handover of the package to the authorized carrier (e.g. DHL, FedEx) is recorded, and the carrier representative must sign a receipt confirming intact security seals.

4. Access to Custody Records

To protect user privacy and security, Chain of Custody media logs are confidential. However, in the event of an active order dispute, claim of transit damage, or package loss, either the seller or buyer can request access to the logs. Upon approval, Ishq Gems will make the intake and dispatch videos and photos available to the requesting party and insurance underwriters.

5. Retention Period

All photographic and video logs associated with a transaction are retained in our secure, encrypted servers for a minimum of 90 calendar days from the date of confirmed delivery. After 90 days, media files are archived or purged in compliance with our data retention guidelines.
